With spring here, many HOA communities will soon be enlisting the services of landscaping and general maintenance companies, to say nothing of the countless other vendors employed by the HOA each and every year. Reviewing proposals from different vendors and ensuring the best value is one of the central functions of the HOA, yet it is also a process in which error is commonplace—and potentially costly. In a new statement to the press, Kuester Management Group shares some tips for ensuring a reasonable approach to contract acceptance.

“The last thing you want is to get your HOA trapped in a relationship with a vendor who does not offer real value, who nickels and dimes you, or who is unwilling to sever the professional agreement when the time comes,” comments Bryan Kuester, President of Kuester Management Group.

One important part of the process is making sure that the submitted contract is not vague or nebulous. The exact specifications of the work to be done—including timeframe, frequency, and specific costs—should all be spelled out in plain English. “A thorough, clear, written contract is a must,” offers Kuester.

HOA Board members should also check into different resources that are available for free—things like BBB reports, notes from licensure boards, and even online reviews. “Reviews are not necessarily accurate, but nevertheless, doing online research can help you see the big picture and get a sense of the vendor’s reputation,” says Kuester.

A final word of advice from Kuester: HOA Board members should be transparent with homeowners. “When there is a change in vendors, let homeowners know about it,” he comments. “Always make it clear that you’re not hiding anything and that you care about keeping homeowners in the loop.”
