Keeping members informed of what is happening in the homeowners association is critical. This allows them to be more involved, stay abreast of policy changes, and reduce misunderstandings. Kuester Management Group has released a statement to the press regarding ways HOA boards can boost their communication efforts.
“One of the biggest complaints HOA members often have is that they don’t know what is going on within the association,” says Bryan Kuester, President of Kuester Management Group. “Decisions are being made, rules are changing, events are happening, and not everyone is aware. Both boards and members can make a greater effort to improve communication and stay informed.”
To this effect, Kuester encourages HOAs to review and update their contact information for members. Ensure that names, addresses, emails, and phone numbers are all up-to-date. One missing, extra, or incorrect character in an email address can mean the message is never delivered to the correct person. Make it a point to have members verify information annually.
However, when using email communication, it is important to keep messages short and to the point. Members are less likely to take the time to read a long email. Use bullet points to highlight key points that readers should take away from the message. Also, use email strategically; no one likes to have their inbox flooded with messages from the HOA every day.
Another effective way of communicating is through the community website. Make sure the site is user-friendly and easy to navigate. Keep it updated with important dates, information, and documents. This can become a wonderful resource for members to quickly find answers to questions they may have, or to reach out to the board for more information. Include a section for previous meeting minutes and copies of the governing documents.
Social media can be another way to connect with homeowners and keep them informed. Consider starting Facebook, Twitter, or Instagram pages for the community. However, be cautious against sharing personal or sensitive information. Use it for general updates and reminders, sharing helpful and informative articles, and connecting with members.
“Of course, regular attendance at HOA meetings is another way for members to stay involved and informed,” says Kuester. “Make sure that homeowners have plenty of advanced notice – and reminders – about upcoming meetings so that they can make arrangements to attend. Encourage them to share their insight and come to learn more about what is happening in the community. The board may be making the final decisions, but they rely on feedback and input from members to guide decision making.”
Partnering with a property management company such as Kuester can help HOAs to improve their communication efforts and build stronger connections with homeowners. A property manager can ensure messages are delivered in a timely manner and contain essential information that is clear and concise. Kuester Management Group works closely with boards to operate more effectively and efficiently.
